The ideal candidate will possess exceptional administrative skills and have experience in executive support, project coordination, and office management. Executive Coordination
Provide comprehensive executive administrative support to the CEO, including calendar management and scheduling appointments. You need to maintain the CEO’s calendar, meetings, and follow-ups.
Track open decisions, pending work, and deliverables.
Manage communication on behalf of the Founder when required.
Coordinate and plan events, meetings, and travel arrangements for the CEO and other executives as needed.
Handle correspondence, including emails and phone calls, with professionalism and discretion.
Maintain accurate records through data entry, filing, and documentation management using tools like Google Workspace and Microsoft Office.
Prepare short daily briefs and summaries of ongoing matters.
Operational Bridge
Serve as a point of contact for internal and external communications on behalf of the CEO.
Act as the link between the Founder and teams (internal and external partners).
Follow up on operations-related matters to ensure completion.
Support project coordination efforts by tracking progress, deadlines, and deliverables.
Coordinate with managers or team leads to relay updates, clarify instructions, or provide guidance.
Handle progress reports from different departments and compile them into concise weekly updates.
Minimum 2 years of proven experience as an Executive Assistant or in other administrative roles with a focus on executive support.
Strong organisational skills with the ability to prioritize tasks effectively in a dynamic environment.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Familiarity in Eventbrite
Familiarity in Slack
Excellent typing skills with attention to detail for data entry and documentation tasks.
Strong communication skills with professional phone etiquette and interpersonal abilities.
Experience with calendar management is essential.
Ability to work independently while being a team player who contributes positively to office culture.
Previous experience in event planning or project coordination is a must.
Reliable internet and quiet workspace.
Schedule: Monday to Friday
Shift: Monday - Friday 5:00 PM – 1:00 AM PHT
Type: Full-time, Independent Contractor, remote (this must be your only job). No other employment or freelance projects.
