Executive Coordination

  • Provide comprehensive executive administrative support to the CEO, including calendar management and scheduling appointments. You need to maintain the CEO’s calendar, meetings, and follow-ups.

  • Track open decisions, pending work, and deliverables.

  • Protect the CEO's working and personal schedule and workflow.

  • Own inbox to zero daily across the Founder's communication channels. Draft high-quality email replies in the Founder's voice; send independently once trust is established

  • Coordinate and plan events, meetings, and travel arrangements for the CEO and other executives as needed.

  • Handle correspondence, including emails and phone calls, with professionalism and discretion.

  • Maintain accurate records through data entry, filing, and documentation management using tools like Google Workspace and Microsoft Office.

  • Continuously refine workflow and SOPs over time/

  • Flag anomalies and surface patterns the Founder.

  • Have clear and simple reports to the Founder daily.

  • Prepare short daily briefs and summaries of ongoing matters.

Operational Bridge

  • Serve as a point of contact for internal and external communications on behalf of the CEO.

  • Act as the link between the Founder and teams (internal and external partners).

  • Follow up on operations-related matters to ensure completion.

  • Support project coordination efforts by tracking progress, deadlines, and deliverables.

  • Coordinate with managers or team leads to relay updates, clarify instructions, or provide guidance.

  • Handle progress reports from different departments and compile them into concise weekly updates.

This role is for one of our existing clients, and the successful candidate will work directly with the client’s team while collaborating with our agency to ensure smooth operations, adherence to standards, and proper documentation. The role involves acting as a primary point of contact for day-to-day responsibilities and requires a proactive, detail-oriented professional capable of managing multiple priorities independently.

  • Minimum 6 years of proven experience as an Executive Assistant

  • Previous experience supporting or working closely with senior executives in a corporate environment (e.g., C-suite, directors, or senior leadership teams)

  • Exposure to structured corporate operations, reporting lines, and stakeholder management is a strong advantage

  • Professional certifications in operations, executive support, project management, or business administration are an advantage

  • Additional training or certifications that demonstrate structured thinking, systems management, or execution excellence are an advantage

  • At least 1 year of direct UK executive experience (handling UK-based clients) is an advantage

  • Highly adaptive, can manage multiple tasks and has the ability to prioritize and handle unexpected challenges effectively.

  • Highest degree of integrity and trustworthiness is a must for the post.

  • Strong organisational skills with the ability to prioritize tasks effectively in a dynamic environment.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.

  • Familiarity in Eventbrite

  • Familiarity in Slack and Google Workspace

  • Excellent typing skills with attention to detail for data entry and documentation tasks.

  • This is not a traditional EA role. You will act as a force multiplier to the CEO - a true second brain who can anticipate, think, and operate at a high level. This role requires someone who thinks like a founder, writes like a founder, and communicates with the clarity and confidence of a closer.

  • Operates with the efficiency and anticipation of someone who is always two steps ahead and has the ability and confidence to lead

  • Demonstrates adaptability and growth mindset, able to quickly understand context and evolve with the role

  • Brings taste, judgment, and perspective not just execution, but thoughtful input and refinement

  • Not a “yes” person. Confident in offering ideas, pushing back when needed, and guiding decisions with sound reasoning

  • Able to manage and balance relationships between the Chief of Staff and CEO while keeping business priorities front and center

  • Very high level of critical thinking with the ability to read situations, anticipate needs, and act decisively

  • Confident and composed in high-pressure environments, with the ability to navigate ambitious or evolving expectations without losing clarity or momentum

  • Able to push back constructively so you don’t just accept direction, you refine it, reset priorities when needed, and guide stakeholders toward what’s realistic and impactful

  • Exercises strong judgment in ambiguous situations, balancing speed, quality, and business priorities

  • Comfortable working alongside high standards similar to Miranda Priestly but with the awareness to manage expectations, not just meet them

  • Communicates with confidence and tact, especially when aligning leadership on timelines, trade-offs, and constraints

Preferred Industry Experience

  • Creative agencies, Professional services, or communications firms

  • Remote-first or distributed team environments

  • Organisations operating across multiple service lines or entities simultaneously

Work Setup Requirements

  • Reliable internet and quiet workspace.

  • Quality camera and microphone available for ad-hoc video call meetings

  • Filipino & based in the Philippines and able to work during agreed time zones

  • Schedule: Monday to Friday

  • Shift: Monday - Friday 9 AM to 5PM UK time.

  • Type: Full-time, Independent Contractor, remote (this must be your only job). No other employment or freelance projects.
